Extremely happy news for all Gramin Dak Sevak (GDS) brothers and sisters! Bringing an end to the long wait, the Department of Posts has finally issued a new notification regarding “GDS Rule-3 Online Transfer Cycle“. An official guideline related to this was sent to all Chief Postmaster Generals on 21 May 2026.
If you wish to get transferred closer to your home or to a division of your choice, then the May 2026 cycle of the “GDS Transfer Portal” is a great opportunity for you. Let’s quickly take a look, in very simple language, at when the application process will begin and what the rules and guidelines are.
GDS Rule-3 Online Transfer 2026
For the convenience of all Gramin Dak Sevak (GDS) employees of the Department of Posts, the online transfer portal for the May 2026 cycle is being opened. Through this process, interested employees will be able to apply online from home for transfer to their preferred location by following the prescribed rules and guidelines.
To ensure the smooth completion of the entire transfer process, the department has announced an official timeline/schedule of activities, which is given below.

GDS Rule-3 Online Transfer Rule
The official notification for the GDS Rule-3 Online Transfer Cycle, May 2026 has now been released by the Department of Posts. Along with the transfer schedule, several important rules, eligibility conditions, verification requirements, cancellation policies, and transfer guidelines have also been clarified for all GDS employees. Important Rules & Guidelines for GDS Rule-3 Transfer 2026–
- Official Notification is Genuine
The transfer notification released on 21 May 2026 is completely official and issued by the Department of Posts. - Vacancy Calculation Date
All vacant posts available till 31 May 2026 will be considered for this transfer cycle, including vacancies caused due to:
• Resignation
• Promotion
• Discharge
• Death cases
• Other departmental reasons - Minimum Service Required
• Mutual Transfer: Minimum 1 year of service required
• PWD Candidates: Minimum 1 year service required
• General Transfer Cases: Minimum 2 years continuous service required
Service eligibility will be counted up to the last application date (17 June 2026).
- Candidates Under Put-Off Duty / Court Case Cannot Apply
GDS employees having:
• Put-off duty status
• Police case
• Court case
• Pending disciplinary proceedings
will not be eligible to apply until the case is cleared.
- Post Engagement Verification Must Be Completed
All online and offline verification formalities must be completed before applying, including:
• Educational qualification verification
• Caste certificate verification
• Police verification
• HRMS/PIS verification
Without complete verification, transfer will not be approved.
- Transfer Attempt Limits
• Male GDS employees: Maximum 2 transfer chances
• Female GDS employees: Maximum 3 transfer chances - Cooling-Off Period for Second Transfer
After taking one transfer, a GDS employee must complete at least 1 year before applying for another transfer. - Candidates With Major/Minor Penalty Cannot Apply
If any disciplinary penalty is active against a GDS employee, transfer application will not be allowed. - Transfer Cancellation Rules
If a candidate cancels an approved transfer during the official 5-day cancellation window:
• Cancellation will be treated as final
• Transfer cannot be revived later
• One transfer chance will be counted as used - Holiday Between Relieving & Joining
If a GDS employee is relieved before a Sunday or Government holiday:
• No separate leave application is required
• Salary and continuity will remain unaffected - Cancellation Request Time Limit
Transfer cancellation requests can only be submitted during the official 5-day cancellation period. After that, cancellation is generally not allowed except through special divisional authority. - Mutual Transfer Special Rule
In mutual transfer cases, if the counterpart candidate:
• Dies
• Resigns
• Gets promoted
• Is removed from service
then the mutual transfer may get cancelled and the remaining candidate may not be relieved.
- Uploading Relieving & Joining Reports is Mandatory
This time, uploading reports on the portal is compulsory:
• Present Division uploads Relieving Report
• New Division uploads Joining Report
Without uploading these documents, joining will not be completed in the system.
- Relieving Date Extension Not Allowed
If the official relieving deadline is over, extension will generally not be granted except in special emergency situations like:
• Accident
• Hospitalization
• Serious medical cases - Office Identification in Preference List
While selecting offices during transfer application:
• Office name
• Account Office/Sub Office
• PIN Code
will be displayed together to avoid confusion.
- ABPM/Dak Sevak to BPM Transfer Rule
If an ABPM or Dak Sevak transfers to a BPM post:
• Accommodation arrangement may be required
• BPM training may also be mandatory - Rejoining Old Office Not Allowed
Once a GDS employee is relieved and joins the new office, returning to the old office is generally not permitted. - Personal Data Verification is Extremely Important
Before applying, candidates must carefully verify:
• HRMS/PIS details
• Parent Division details
• Mobile Number
• Email ID
• Educational information
• Communication details
Incorrect data may lead to:
• Application cancellation
• Loss of one transfer attempt
- Do Not Apply in Hurry
Candidates are advised not to apply immediately in haste. Waiting for 1–2 days may help because additional vacancies/posts may appear later in the portal. - Final Advice for Applicants
Before final submission:
✔ Check all personal details carefully
✔ Verify mobile & email through OTP
✔ Select office preferences properly
✔ Read all instructions carefully
✔ Submit application only after complete verification
Important Note:
Any mistake in application details, incomplete verification, or wrong preference selection may create serious problems during transfer approval. Therefore, every applicant should complete the process carefully and patiently.
